Abstract

The management of staff leave in many public institutions is often characterized by manual processes that are time-consuming, error-prone, and inefficient. Kano State Polytechnic, like many tertiary institutions, faces challenges such as delayed approval, poor record keeping, lack of transparency, and difficulty in tracking staff leave history. This study focuses on the design and implementation of a Leave Management System aimed at automating and improving the leave application and approval process at Kano State Polytechnic. The system was developed using a structured system development life cycle (SDLC) approach, incorporating requirement analysis, system design, implementation, and testing. The proposed system provides features such as online leave application, automated approval workflow, staff leave balance tracking, and secure data storage. The implementation utilizes modern web-based technologies to ensure accessibility, efficiency, and data integrity. Testing results indicate that the system significantly reduces processing time, minimizes errors, and enhances effective personnel management compared to the existing manual system. The study concludes that the implementation of an automated leave management system will improve administrative efficiency, transparency, and decision-making within Kano State Polytechnic and can be adapted for use in other higher educational institutions.
