DESIGN AND IMPLEMENTATION OF WEB-BASED HOSTEL MANAGEMENT SYSTEM (A CASE STUDY OF UNITY HOSTEL, THE POLYTECHNIC IBADAN
Abstract
The management of student hostels in tertiary institutions has long been faced with challenges
such as manual record-keeping, room allocation errors, delayed information processing, and
poor accessibility for both students and administrators. This project presents the design and
implementation of an Online Hostel Management System developed to address these
challenges by automating the processes of student registration, room allocation, fee payment
tracking, and record management.
The system was implemented using PHP, MySQL, HTML, and CSS on a XAMPP server
environment, ensuring platform independence, scalability, and user-friendliness. A key feature
of the system is the automatic room number generation, which minimizes human errors in
room allocation and enhances efficiency. The methodology adopted combined system analysis,
design, and iterative testing to ensure reliability and usability.
The system provides a centralized platform where administrators can manage hostel data
seamlessly, while students can easily apply for accommodation, check allocations, and make
payments online. By eliminating the limitations of the manual approach, this project
significantly improves accuracy, reduces administrative workload, saves time, and enhances
transparency in hostel management.
This research contributes to knowledge by demonstrating how web-based technologies can be
effectively applied to solve real-life administrative problems in educational institutions,
particularly in hostel allocation and management.
