Abstract

Effective management of student records is critical for academic integrity, administrative efficiency, and compliance in higher education institutions. This study investigates the current system of student record management at Bayero University Kano (BUK), focusing on the roles of the Directorate of Examinations, Admissions and Records (DEAR) and associated challenges such as manual processes, data retrieval delays, security concerns, and infrastructural limitations. Using a mixed-methods approach involving surveys, interviews, and document analysis, the research reveals significant gaps in policy implementation and technology adoption. Findings indicate that while BUK has initiated some digitization efforts (e.g., online transcript requests), persistent issues like power supply instability and inadequate staff training hinder optimal performance. The study recommends full implementation of a robust Student Information Management System (SIMS), staff capacity building, and policy reforms to enhance accuracy, accessibility, and security of student records.
