Abstract

This project focuses on the design and implementation of an Android-based meeting forum for the management of Federal Polytechnic, Damaturu. The study was motivated by the challenges associated with traditional methods of meeting coordination, communication and document management, which often result in scheduling conflicts, delayed information dissemination and inefficient administrative processes. To address these issues, an Android mobile application was developed using a client-server architecture with a cloud-based database to centralize meeting scheduling, document sharing, and structured discussions. The system incorporates features such as user authentication with role-based access control, real-time notifications, meeting reminders, document upload and retrieval and a discussion forum to enhance collaboration among management staff. Security measures including encryption and controlled access were implemented to protect sensitive information. System testing and evaluation confirmed that the application is reliable, user-friendly and capable of improving communication efficiency and decision-making processes. The study concludes that the adoption of this Android-based meeting forum will significantly enhance administrative effectiveness and support digital transformation within Federal Polytechnic, Damaturu.
